102.5 -- Share "!ToDos" with another Google User
This section includes:
- Basic Sharing
- Have fun with this
- The Advanced view of sharing
1) Basic Sharing
My !ToDo List is kind of private. It's not something I'd typically share with anyone, BUT now is a good time to show you how sharing works so you can see it in action and you can then use sharing moving forward when it makes sense.
1) Select File (1)
2) Select Share (2)
NOTE: From Google Drive, you can right click on the file and select Share from there as well...

A popup window appears. I personally never use this pop up window. I always click on Advanced (4) , just out of habit. I get a better feel for whats what when I do that, but there's nothing wrong with using this if you are just sharing with someone you know...
1) Enter the gmail address or email address of someone with a gsuite account (1) ( It says you can just enter someones name. They would need to be in your contact list to find them that way).
2) Item (2) is related to permissions. The pencil means "edit" allowed. You can change that to comment only or view only.
3) Select done (3)
At this point, an email is sent to the user letting them know you've shared a file. The file will automatically show up in their Google Drive under the "Shared with me"

1) The person you shared the file with should check their "shared with me" directory (1) in google drive for your file. (NOTE: this image is not showing any shared files -- they would show up in the RIGHT PANE where the yellow, green and red icon is.)
CAUTION!!!
Many people new to sharing OVERUSE IT and MISS USE IT.
The tag line from google states "Say goodbye to email attachments and hello to real time collaboration. Drag anything shared with you to My Drive for easy access".
Remember there is a time and place for everything!!
You "share files" when you want someone to collaborate with you or when you want them to have a real time view of what you are doing. When you just want them to have a static copy of a file (which is what you are use to most), you should NOT share with them... In that case, you will download a copy of your google sheet as either a .xlsx, .pdf file or some other open office format. That can all be found on the File> Download As... menu item
As for dragging the shared file into your drive. In general I find that a little confusing. I do do that with some things, but don't do that until you have a solid hold on your own file structure. And realize if you delete a file that was shared with you from your drive folders, that does not unshare it with you. You still would have access to it via the Shared With Me Directory.

2) Have fun with this...
If you just shared this file with someone who has a mobile device and/or a computer handy, have them access the file from their devices and have them make changes to it while you also are making changes to it on your computer and your mobile device. You will see individual boxes for each user con-currently on the same screen.
Are you getting the picture of this yet???
I could be in Singapore, my partner could be in California and another could be in Germany, and we could all watch each other update a spreadsheet at the same time and in real time -- and we could share this with hundreds or even thousands of others the same way -- although that seems like it would get unruly fast.
When it comes to small team collaborations, this makes for paradigm shifting technology and it makes for rethinking collaboration and community in general.

3) The Advanced View of Sharing...
Below are two pics of the Advanced view of sharing. These are only here for visual stimulation at this time.
If you click the "change" link in the left image, the right image pops up. You can also set a time out on a share, but that is not visible in this view and it seems to only be available to Google Suite users.
There are many features related to sharing and many ways to do it. These are covered more in The Soul Proprietor Guide website but you can also look them up online.
